STEP Energy Services tackles safety, compliance and equipment monitoring with Motive.

Challenge

STEP Energy Services is a 24-hour operation. Drivers spend hours on the road day and night, making it essential for the business to keep drivers safe, manage drivers’ hours of service and prevent fatigue. By preventing fatigue, STEP Energy Services could prevent accidents and DOT fines as well. 

“Our drivers are constantly moving, and hours of service comes into play every day,” says Jayme Borgstrom, DOT Manager at STEP Energy Services. “We have to keep our drivers safe and our equipment safe and legally on the road. We tell our professionals ‘You are truck drivers first, and then you are a field professional.’”

STEP Energy Services struggled with outdated systems for tracking hours of service, making compliance reporting and enforcement a real problem. In addition, many of STEP Energy Services’s processes were manual, causing managers to waste a lot of time doing routine tasks to keep the company and drivers compliant.

“We relied on paper fuel envelopes for IFTA reporting, which often got lost,” says Borgstrom. “Our drivers kept fuel receipts in the cabs of their trucks but missing receipts and the time delay made reporting really tough.”

As part of its hydraulic fracturing, fluid and nitrogen pumping, and coiled tubing services, STEP Energy Services operates a varied set of expensive equipment that is used across Canada in dozens of customer locations at a time. Keeping track of that equipment so that it can be scheduled, moved and operated efficiently was challenging, leading to confusion about where their equipment was and how to find it.

Solution

STEP Energy Services needed automated technologies to help them meet their compliance objectives in faster and smarter ways. Following the integration of Motive’s products, STEP Energy Services observed immediate and impactful benefits. “Using Motive has dramatically enhanced our operations, particularly in terms of speeding up reporting and accurately tracking hours of service,” Borgstrom says. “We now have real-time data every day. Before, we had to wait for paper logbooks to come in. Now we can see how our drivers are complying automatically.”  

The challenges of IFTA reporting were also mitigated by Motive’s compliance solution, allowing professionals to upload their fuel receipts directly to the system. This change streamlined the IFTA reporting process and enhanced the accuracy and timeliness of reports.

“Before Motive, we actually had paper fuel envelopes in all units that had to be handed in monthly, and we had to wait for those to come in,” says Borgstrom. “Some would get lost and some wouldn’t make it to the office. With Motive, our professionals can upload their fuel receipts right into Motive. It’s so much faster and easier to track and do our reporting.”

Now, when drivers do their pre and post trip inspections, the maintenance department is notified and work orders are created to get equipment fixed and back in operation right away and not waiting for paper reports to come in.

Motive’s Asset Gateways revolutionized how STEP Energy Services manages and tracks their equipment, bringing a new level of visibility and control to their day-to-day operations. 

The equipment STEP Energy Services uses to service its clients is expensive. Knowing where each piece of equipment is critical to customer service:  scheduling for each job, moving it from site to site, routing it for preventative maintenance. “When we know where our equipment is, we can utilize it better, keep it working for clients and we can move quickly to serve their needs. It also helps when one piece of equipment breaks down in the field. We can immediately know where the nearest replacement is and get it to the site quickly,” explains Borgstrom.

STEP Energy Services also uses Motive AI Dashcams to detect safety incidents and alert drivers and managers in real time. “On the safety side, if there’s an incident, we can see what happened right away from the AI Dashcam video,” Borgstrom says. “Up in Canada, we have a lot of deer, so our drivers have to be really vigilant. Especially with a 24-hour company like ours, where drivers take to the road at night. As vigilant as our drivers are, it’s easy to miss things driving in the dark. With Motive’s AI Dashcam, our drivers have an extra set of eyes to protect them.”
